Agree the inspection plan before production by defining the ordered population, inspection basis, selection method, checks, acceptance rules and authority to release shipment. A request to inspect some cabinets leaves too many decisions unresolved.
Three decisions to carry into your project.
- 01
Define what belongs to the same inspection population
- 02
Separate different kinds of verification
- 03
Create a check-by-check instruction
Start with the decision
Agree the inspection plan before production by defining the ordered population, inspection basis, selection method, checks, acceptance rules and authority to release shipment. A request to inspect some cabinets leaves too many decisions unresolved. A useful plan tells the inspector what to select, what to compare and what happens when a problem is found.
This is a buyer preparation guide, not a statistical sampling standard or a certification procedure. It does not prescribe a universal sample size or acceptable defect rate. Any formal standard, safety test or specialist inspection must be selected by the responsible professionals for the actual order. The worked scenario is illustrative.

Define what belongs to the same inspection population
Start with the fixture schedule and identify which units genuinely share a design, process and approval basis. Different cabinet heights, hardware revisions or finishes may need separate treatment. An order containing many identical bays and a few unique counters should not be treated as interchangeable items merely because everything ships together.
Record the quantities available, production status and package condition at inspection. If some units are not completed or are inaccessible, the report must say so. A check of the easiest units near the workshop entrance is not automatically representative of the shipment.
Choose a selection process that the buyer and inspector understand. Specify who selects units and whether selection is random, stratified by variant, risk-based or complete for particular checks. Where a formal statistical plan is required, state its exact agreed basis rather than borrowing an unexplained abbreviation from a template.

Separate different kinds of verification
Quantity reconciliation, appearance review, dimensional checks, moving-part operation, electrical evidence and packing review are different activities. They can have different coverage and require different access or tools. An external inspection provider may offer several of these services, but the actual booking and instruction determine which are performed.
SGS lists documentation, dimensional, visual, packing and marking checks among its pre-shipment inspection services. That supports asking for a defined scope; it does not mean any particular BENSON order has been independently inspected by SGS. Do not describe an inspection company as a partner without a real appointment and permission.
Safety-critical or regulated questions cannot be closed simply by increasing the number of photographs. Identify required engineering or laboratory evidence separately. Likewise, a successful sample operation of a drawer does not establish an untested durability claim for repeated long-term use.
Create a check-by-check instruction
See the decision table below for the working record.
Give each finding a fixture ID and a location that can be found again. A photograph of a scratch without a reference makes correction and reinspection harder. Request an overview and a detail view when needed, and state which material or finish reference was used for comparison.
Agree outcomes before inspecting
Define what constitutes a recorded finding and who classifies it. Establish whether an issue requires repair, replacement, additional selection, specialist review or a buyer-approved deviation. A supplier should not silently downgrade a finding because the opening date is close, and the inspector should not improvise a commercial compromise.
The plan must also define the release authority. An inspection report can describe results without itself authorising shipment. Record the buyer's decision and any unresolved exceptions separately. If a correction changes the design rather than restoring the approved one, route it through drawing approval as well as inspection closure.
Do not interpret sampled acceptance as proof that every unselected item is defect-free. Describe exactly what was examined. This distinction is particularly important when units have been packed before inspection and some checks would require unpacking or reassembly.
Apply the plan to a mixed illustrative order
Consider an order with repeated wall bays, several illuminated showcases and one custom checkout counter. The buyer wants evidence of repeated finish consistency, showcase access and the counter's equipment openings. These are three different questions.
The instruction can divide the order by fixture family, identify a selection method for repeated visual checks and separately require the unique counter interface to be checked. Showcase electrical documentation is requested against its actual component schedule. This example does not specify a numerical sample or a compliance test; those decisions remain with the agreed inspection plan.
If one showcase door fouls an internal shelf, the team records the unit and affected drawing. The correction is checked on that unit, then the agreed procedure determines whether other units sharing the interface need additional examination. Closing only the original photograph would leave the repeated design question unresolved.
Keep reinspection and packing release connected
Maintain an issue register with the initial finding, corrective action, responsible party, recheck evidence and closure decision. Retain earlier records so the buyer can see what changed. Replacing a photograph without history makes it difficult to distinguish correction from a different unit being shown.
After acceptance, confirm package labels and accessory lists remain consistent with the checked fixtures. If units are disassembled for packing, provide the reassembly references and hardware identification agreed for the receiver. An inspection of assembled goods does not automatically verify every subsequent packing step.
Prepare the supplier discussion
Use the quality-control scope, pre-shipment checklist and packing responsibility matrix to create the instruction. Confirm inspector access, scheduling, charges and who receives the report before the goods are ready.
A durable inspection plan makes outcomes repeatable and visible. It connects the ordered fixture to its approved specification, the observed condition to an identifiable unit, and shipment release to a responsible decision. Those connections matter more than a report that simply states that quality was checked.

Review BENSON capabilities →What still needs project confirmation.
Use the actual site, merchandise and supplier information to confirm the project-specific arrangement. Illustrative examples do not establish technical suitability.
Prepare the required inputs →Avoid these shortcuts.
- Treating a reference image as an approved production specification.
- Comparing suppliers without identical dimensions, quantities and delivery scope.
- Separating material, lighting or hardware decisions from the drawing revision.
- Leaving packing, local installation and site interfaces undefined.
Before the next approval.
- Define what belongs to the same inspection population
- Separate different kinds of verification
- Create a check-by-check instruction
- Record each open point, owner, due date and required evidence.
